Using note templates

3 min readUpdated Apr 21, 2026

A note template is the set of questions Sorinai answers for you as the conversation goes. Here's how to build one, edit the answers, download the filled copy, and share it with your team.

You might not need to touch this
Sorinai comes with a default template, so you can take notes without setting anything up. Build your own when you want the same questions answered on every call.

Adding a template

A template is the set of questions you want answered on every call — whatever you find yourself asking each time. Build one by typing your questions into Sorinai, or start from a Word or PDF you already use and Sorinai reads the questions straight out of it. As the conversation goes, it fills the answers in for you.

Templates live in two places:

  • Your Templates tab in the desktop app — templates you add here stay private to you.
  • The admin panel (team admins only) — templates added here are shared with everyone on your team.
Avoid image-based files
Image-based files — a scanned PDF, a screenshot, or a photo of a page — are harder for Sorinai to fill in accurately, so avoid building a template from one (normal PDFs are fine).

Watching it fill in

During the call, open the Template tab in your notepad to watch your questions get answered. Each one starts as a dash and fills in with the answer as Sorinai hears it — the row lights up as it lands, and the tab scrolls to whatever just filled, so you can follow along without taking notes yourself. Tap the search icon beside an answer to see the exact line from the conversation it came from.

Want a quicker glance? Tap Checklist along the bottom for a running tally — each question checks off and drops to the bottom as it’s answered, with a count of how many you’ve covered up top.

Editing answers

The answers Sorinai fills in are a starting point — you can fix or add to them after the call. Open the meeting, go to the Template tab, and click into any answer to edit it. Anything you change is tagged Edited by you and kept when you download the filled copy.

Adding one after the call

Forgot to attach a template, or picked the wrong one? You can add one after the fact:

  1. Open the meeting from Home and switch to the Template tab.
  2. Click Select template, choose the one you want, and click Apply.
  3. Sorinai fills it in the background. When it’s done, the answers appear on the Template tab.

Downloading the filled document

If your template came from a Word or PDF, you can download the filled copy: on the Template tab, click Download to save it as a PDF or Word file, matching your original. Just after a call the button shows a “Filling out your document” spinner while Sorinai finishes rendering it.

Downloads on the free plan
Starter includes a limited number of document downloads each month; paid plans remove the cap — see Managing your team and plan.

Sharing with your team

Templates added from the admin panel show up for every teammate in their app. Only team admins can add or remove shared templates.

If you edit a shared template, only future meetings use the new version. Past meetings keep the version they were made with.
